ATCO, N.J. – Arsenault Associates, a provider of vehicle maintenance management software solutions, has introduced Customer Management, a new software module for Arsenault’s Dossier Maintenance Software. Customer Management (CM) helps manage shops that serve outside customers as well as their own fleets. CM is available as an option in the Platinum edition of Arsenault’s Dossier software, a fleet maintenance management product. CM helps the fleet maintenance department control, track, and report on external customer fleets for-profit or contract maintenance purposes, or it might apply to a second or more fleet of vehicles or equipment operated by different departments under the same corporate umbrella or government agency, but maintained in the same fleet maintenance shop. An example is a shop that maintains its own fleet of delivery trucks, a fleet of utility trucks operated by the county road department, and a third fleet of buses operated by the regional school system. CM enables shop managers to enter vehicles into the system and assign them to a particular fleet customer. Shop managers can produce quotes and invoices for each fleet customer. Each customer has a separate file that includes contact and billing information. Accounts can be assigned their own unique billable labor rates, parts markups or discounts, and billing terms. CM begins the process with a formal quote that can be printed, faxed, or e-mailed to the customer for review and approval. When the customer approves the quote, a mouse click converts that approved quote to an active repair order. Additional work can be added to the initial quote as work progresses, if necessary. When work is complete, CM produces the repair order in the form of an invoice to be printed, faxed, or sent to the customer by e-mail from within Dossier. Open quotes are displayed on Dossier’s Daily Reminder feature to track pending customer work, and unpaid invoices are tracked and reported for better control of receivables. CM can produce reports on quotes, approved or not, and invoices paid or unpaid. Dossier also produces reports such as equipment due or overdue for preventive maintenance, individual unit repair and cost histories, and a complete set of important fleet management reports and more. Using CM as a value-added service can help attract and retain customers in maintenance-for-profit shops. It also satisfies the need to accurately track and report costs for internal fleet customers within an organization. Arsenault’s Dossier software Dossier is available in Silver, Gold, and Platinum editions to suit a fleet’s requirements. Dossier is also available as 24/7 Fleet Online ASP, a version accessible over the Web.
